Changing or removing a manager mid-journey

Change or remove a participant's manager during a live learning journey — swap in a new manager, remove the existing one, or reassign after a team change. Covers the steps, who can do it, and what the new manager sees.

Change a participant's manager mid-journey when someone gets a new manager, the original manager has left the organization, or the wrong manager was set up. This covers both swapping one manager for another and removing a manager entirely. If the manager is the right person but their email address is wrong, see Fixing a manager's email address instead.

How to change a manager

On the People page of the learning journey, find the participant whose manager needs to change and update the manager email. To remove a manager entirely, clear the manager field on the participant.

If the same change applies to several participants — for example, a team being reassigned to a new manager — you'll need to do it per participant. There's no bulk "move all of these participants to a new manager" action in Knowly today.

When you'd change a manager

  • The participant has a new manager and the previous one is no longer involved.

  • The wrong manager was set up at the start.

  • The manager has left the organization.

  • The support role should move to a different person.

Who can do this

Changing a participant's manager is a journey editor or org admin task. Participants can't change their own manager from inside the learning journey, the existing or incoming manager can't change it from their side either, and Knowly support doesn't edit individual participants' managers on behalf of organizations.

What the new manager sees

The new manager gets access to the participant's progress in the manager dashboard after the change. They can see what's already happened in the learning journey, but they won't receive past activity notifications — only future ones. If they need context on what's already taken place, send them a short brief outside Knowly.
