When you need to add more than a handful of participants, importing is far faster than adding them one by one — you paste everyone in at once and Knowly turns each row into a participant.
Where to start
Open the People page on your learning journey and look for Import from Excel or CSV file. If no one's been added yet, it's one of the buttons in the card in the middle of the page. If you already have participants, click Add more participants in the top-right corner and choose it from the menu.
Paste your rows
Despite the name, you don't upload a file here — you paste your participants in as rows, exactly the way they look when you copy them out of Excel, Google Sheets, or a CSV. Select the rows in your spreadsheet, copy them, and paste them into the Paste rows here box.
Two things make the paste line up correctly:
Leave out the header row. Knowly reads the very first line you paste as a participant, so if you include your column titles they'll be added as a bogus person. Copy only the data rows.
Keep the columns in the order Knowly expects. It matches columns by their position, not by their heading, so the order matters more than what you've named them.
For a group-based learning journey, paste these seven columns in this order:
Full name
Email
Mobile phone
Manager name
Manager email
Group name
Leader — put an x here for anyone who should lead their group
You don't have to fill every column. If one doesn't apply, leave it empty — but keep the empty column in place so the ones after it stay lined up. Email-based journeys need the email column filled; SMS-based communication needs mobile phone. Knowly shows a couple of example rows right in the paste box, so you can see the shape before you paste your own.
Individual learning journeys ask for fewer columns, and you set each person's anchor date in a step after the paste rather than as a column of its own.
Review before you finish
Once you paste, Knowly shows you what it read back to you — including any rows it had to skip or flag. Look it over and fix the obvious problems, like a misspelled email or a value that landed in the wrong column, before you confirm. What you see here is exactly what each participant will be added with.
Importing into a journey that's already running
When you import into a learning journey that's already launched, Knowly asks whether the new people should get everything sent so far or only what's still ahead — on an import, that second choice is called Only invite to remaining activities.
