Send a Smart reminder when a group of participants or managers needs a targeted nudge. You start it from the activity or engagement view, then choose recipients and a message in the Send reminder drawer.
Open the Send reminder drawer
In a learning journey, open the activity or the engagement view and click Send reminder. The drawer shows two sides: Recipients on the left and Reminder on the right.
Choose Type of reminder
The first setting in the drawer is Type of reminder:
Specific — reminds people of one specific activity. You then choose a filter or pick recipients manually.
General — reminds everyone with at least one unfinished activity in the journey. All eligible recipients are pre-selected.
In Specific mode you also pick which activity to remind people about.
Pick recipients
In Specific mode. Use the Not opened or Not completed filter to narrow down recipients, or tick and untick people in the list to build a custom selection. See Smart reminder recipient filters for what each filter includes.
In General mode. Everyone with at least one unfinished activity is selected by default. Untick anyone you want to exclude.
The footer always shows X recipients selected as you make changes. Check this number before you send.
Choose channel and write the message
Pick Email or SMS under Send reminder via. If a recipient does not have an address for the channel you chose, Knowly falls back to the other channel for that person and tells you in the drawer.
Then write a short, specific message:
An email has a subject, body, and a button label. Knowly fills these with a default you can edit.
An SMS has a sender name and a single short body.
Tip. In General mode, recipients with one unfinished activity get a direct link to that activity. Recipients with more than one unfinished activity get a link to the learning journey home page. Use a generic button label like Open so it works for both.
Send
Click Send. A confirmation screen lists who received the reminder and on which channel.
Cooldown. You can only send one reminder every 5 minutes for the same learning journey. If you try sooner, Knowly shows: "A reminder was sent less than 5 minutes ago."
Recipients who finished while the drawer was open are silently skipped at send time. If anyone you selected has completed the activity in the meantime, the drawer shows a warning telling you how many will not be reminded.
