Smart reminder recipient filters

Understand how recipient filters help you send Smart reminders to the right people.

The recipient filter decides who actually receives your Smart reminder. The options you see depend on whether you chose Specific or General as the Type of reminder.


In Specific mode: Not opened or Not completed

When you pick Specific and choose an activity, two filters appear above the recipient list:

  • Not opened — recipients who have never opened the activity.

  • Not completed — recipients who have not fully submitted the activity. This includes people who never opened it and people who opened it but did not finish.

So Not completed is a superset of Not opened. If you want to reach only the people who never started, pick Not opened. If you want to reach everyone who has not finished, including stuck or partial responders, pick Not completed.

What "completed" means. A participant is counted as completed once they fully submit the activity — for example, sending in an assignment or finishing a survey. Partial answers, drafts, and views do not count as completed.

Custom selection. As soon as you tick or untick a recipient in the list, the filter switches to a custom selection — Knowly stops auto-applying Not opened or Not completed for that send.


In General mode: no filter, manual exclude

In General mode, there is no filter to choose. Knowly selects everyone with at least one unfinished activity in the journey. Untick anyone you want to exclude.


Always check the count and the list before you send

The footer shows X recipients selected in real time. The recipient column lists each person with their current status — Not opened, Opened, not completed, or the number of incomplete activities in General mode — so you can spot anyone who should not get the reminder.

Safety check at send time. If a recipient finishes the activity between opening the drawer and clicking Send, Knowly silently drops them and shows a warning: "X of the recipients you selected have completed all available content, and will therefore not be reminded."
