What are Smart reminders?

Understand Smart reminders and when to use them in a learning journey.

Smart reminders are manual reminders you send from inside a learning journey when a group of participants or managers needs a nudge. You choose when to send them, who they go to, and what they say.


How they differ from automatic reminders

Automatic reminders are set up once when you configure an activity's notifications, and Knowly sends them on a schedule.

A Smart reminder is sent by you in the moment, after you have looked at how the journey is going. Use one when the timing or the recipient group does not fit the automatic schedule — for example, when a deadline has just passed and only some participants still need to act.


Two modes: Specific and General

When you open the Send reminder drawer, the first setting is Type of reminder:

  • Specific reminds people of one specific activity. You can then narrow it with a filter (Not opened or Not completed) or pick recipients manually.

  • General reminds everyone with at least one unfinished activity in the journey. All eligible recipients are pre-selected, and you can remove anyone you want to exclude.

Use Specific when you want to nudge one activity. Use General when participants are behind across the whole journey and a broader nudge makes more sense.


When to use a Smart reminder

  • A deadline has just passed and not everyone is done.

  • Engagement on one activity is lower than the rest.

  • You want a short, targeted nudge instead of changing the journey schedule.
