Different roles in Knowly make it easier to give people the right level of access without opening up more than they need.


Common role setups

Invite a guest when someone should collaborate in selected learning journeys only. This works well for consultants, external partners, or colleagues who should review a setup without getting access to everything in the team.

Use a team member when someone should create and work in the team's learning journeys. A team member can create learning journeys, edit existing ones, invite participants, and follow statistics, but does not manage the team's broader settings.

Use a team owner when someone should also manage settings and invite admins. A team owner has the broadest access in the team and is a good fit for the people responsible for how the team is run.


Choose the role from the job to be done

  • Give the lowest access level that still lets the person do their work.

  • Use guest access when someone should only support a few learning journeys.

  • Use member access when someone should work operationally inside the team.

  • Use owner access when someone should manage both content and team setup.
