How to connect a dynamic list to a learning journey

Connect a dynamic list from People and choose how new participants should be added.

Use this guide when you want to connect a dynamic list to a learning journey from People. It explains what happens in cohort and individual learning journeys, and how future participants are handled.

Availability

  • Dynamic lists are available for Enterprise organizations with SCIM directory sync enabled.

  • See If a feature is locked if the dynamic-list option is unavailable.

  • Connecting a list works the same way for both cohort and individual learning journeys.

Before you connect the list

Make sure the dynamic list you want to use already exists and matches the right audience. Open Lists in Knowly with Teams if you need to review the list's filters and current matches.

Because a dynamic list's filters cannot be changed after creation, create a new list first if the current one is not correct.


Connect the list from People

  1. Open the learning journey.

  2. Go to People.

  3. Click Connect dynamic list.

  4. Select one or more lists.

  5. Review the options for your learning journey type.

  6. Click the button at the bottom of the drawer to finish the connection.

Cohort learning journeys

When you connect a dynamic list to a cohort, the current matches are added to the cohort. New matches can then be added automatically as well.

New participants after launch. If new participants start matching the list after the learning journey has started, choose how they should be invited:

  • Invite to all activities gives late participants access to all activities that have been sent up to the point when they are added.

  • Only invite to remaining activities adds late participants without access to activities that were already sent, but they still receive the remaining activities as usual.

Send catch-up notification. When you choose Invite to all activities, you can also send a catch-up notification so new participants can quickly reach the material that has already been sent.

Automatically assign manager. If your directory includes manager information, you can let Knowly assign a manager automatically for participants added through the list.

Individual learning journeys

When you connect a dynamic list to an individual learning journey, Knowly creates a separate learning journey for each user who matches the list.

Anchor date per user. For the users who match right now, choose the date that should drive their schedule, for example their employment start date.

New matches later. Users who are added in the future automatically get the day they join the list as their anchor date.

Automatically assign manager. You can also let Knowly assign a manager automatically when new participants are added through the list.

After the list is connected

You can review the connection in People under Connected dynamic lists.

  • New matches are added automatically.

  • Users who were already added are not removed automatically just because they stop matching the list later.

  • You can rename the list, but you cannot edit its filters.

Disconnect a list

To stop using a dynamic list for a learning journey, open the Connected dynamic lists section and click Disconnect on the list row.

Knowly then asks whether to:

  • Keep participants. The list is disconnected, but users that were enrolled through it stay in the learning journey.

  • Remove participants. The list is disconnected and users that were enrolled through it are removed from the learning journey.

Choose Keep participants when the list was simply how they entered the learning journey. Choose Remove participants when those participants should no longer stay because of this list.


Use Add from list for a one-time add

If you only want to add the users who match right now, use Add from list instead of Connect dynamic list. That adds the current matches once, but the learning journey does not keep following the list after that.

Use this when you want to add participants now, but do not want the list to control future additions.
