Deadlines, hidden, and locked activities

Learn how deadlines, hidden activities, and locked activities affect what participants see before an activity is sent.

When you schedule an activity in Knowly, you decide both when participants should receive it and what they can see before that moment. Use deadlines to tell participants when to finish an activity, and use visibility settings to choose whether upcoming activities stay hidden or appear as locked in the learning journey.


Hidden or locked: what participants see

By default, activities are hidden before they are sent or published. That keeps later parts of the learning journey out of view until the right moment.

If you choose Display a locked activity, participants see the activity's name in the learning journey, but they cannot open it until the scheduled send or publish date.

If you choose Hide activity, participants do not see the activity in the learning journey at all until it has been sent or published.


A locked activity lets participants see what is coming without opening it early


Locked is not a completion gate. A locked activity opens when its scheduled send or publish date arrives, regardless of whether earlier activities in the learning journey have been completed. If a participant skips an earlier activity, the next one still opens on its own scheduled date. Knowly does not gate access on prior completion. If you need participants to follow a strict order, build that into your scheduling and instructions, not into the locked-visibility setting.


Choose visibility when you schedule

When you schedule an activity for later, Knowly asks What should be displayed before the invitation is sent?

Choose:

  • Display a locked activity when participants should know the activity is coming, but should not open it yet.

  • Hide activity when you do not want participants to see the activity until it is sent.


Choose whether the activity should be hidden or shown as locked before it is sent


Change visibility from the learning journey

For cohort learning journeys, you can also change visibility directly from the activity in the learning journey. Open the activity menu and use Visibility to switch between Visible and Not visible.

When Visibility is Visible, participants can see the activity title before it is sent. They still cannot open the activity until the scheduled date. When Visibility is Not visible, the activity stays hidden until it is sent.

Deadlines

A deadline tells participants when an activity should be completed. Deadlines do not make the activity visible by themselves; the activity still follows its send or publish date and the visibility setting you choose.

Lastly, check both the deadline and the visibility setting before you invite participants, especially for activities you want them to notice before they can open them.
