Scheduling and publishing a learning journey

How scheduling and publishing work at the activity level in a learning journey, and what to check if a participant's link shows no content.

A learning journey doesn't go live as a single event. Each activity inside the journey is sent or scheduled on its own, with or without a notification, and that's what determines when participants see content.


How activities go live

Publish happens at the activity level. For each activity you decide whether to send it now or schedule it for later, and whether the send should trigger a notification. Once an activity is scheduled, no further action is needed — Knowly sends it on the scheduled date to everyone on the recipient list at that time.

Schedule first, then participants

Cohort learning journeys schedule by shared calendar dates. Individual learning journeys schedule relative to each participant's anchor date — the same activity sends a different day for different participants. In either case, once an activity has a schedule and the participant is on the recipient list, the activity will reach them on its scheduled date.


If a participant clicks their link and sees no content

Their learning journey has no live activities yet. When a participant opens the link before any activity has been sent or scheduled to them, the learning journey looks empty. Check two things:

  • At least one activity has been sent or has a future scheduled date.

  • The participant is on the recipient list for that activity, not only on the learning journey.

If both are true and the activity is scheduled in the future, the participant will see it once the scheduled time arrives.


After activities are live

You can keep operating the learning journey: add participants, send reminders, change deadlines on future activities, and review engagement. Be careful with edits to activities that have already reached participants — content changes are visible immediately.
