When you've got material to hand out — a supplier's PDF, a template, a document people will come back to — the natural instinct is to look for one place to upload it all. In Knowly, files don't live in a folder of their own. You add a file where people will actually use it, inside an activity, and Resources then gathers every file you've shared into one place participants and managers can open or download.
So two things are worth clearing up first. Resources isn't somewhere you upload to — it's the place your files collect after you've added them to activities. And a thread can't hold an uploaded file at all. Here's where files actually go, and how they end up in Resources.
Add a file inside a Micro training
The most common home for a file is a Micro training. Open a slide, add the File element, and upload your document — a PDF, Word, Excel, PowerPoint file, or an image. Participants read or download it right there in the activity, and you can add more than one file to the same slide. Attach a file to a Direct message
If you'd rather send a document by email than build an activity around it, attach it to a Direct message. Add a Button to the message, and under Destination choose File, then upload the document. The person opens it straight from their inbox — and it shows up in Resources the same way a Micro training file does. See how Direct messages work for the rest of the setup.
What a thread can and can't hold
A thread is built for discussion, not for storing files. You can paste a link to a file in a thread and add an image inline, but you can't upload a PDF or Word document into the thread itself. So if you want people to have the actual file, add it to a Micro training or a Direct message as above; if you want them to talk about it, link to it from a thread. Where your files show up: Resources
Once a file is attached to an activity that's live, it appears under Resources, so people don't have to dig back through the timeline to find it. Who sees each file follows the activity's audience: a file on a participant activity is shared with participants and their managers, while a file on a manager-only activity shows to managers alone. Managers see both their own resources and the shared ones — more on the manager's view of Resources.
A file appears in Resources once its activity has been sent or published, not while it's still a draft. So if a document you added isn't there yet, check whether its activity has gone out.
File types and size
For the files you share as resources, Knowly accepts PDF, Word, Excel, and PowerPoint files, plus images, up to 150 MB each. For the full list of formats and limits, see file limits and accepted formats.
